    Job Summary

    We are seeking an Administrative Assistant to join our team! As our Administrative Assistant, you will be working to support our sales team.

    We are looking for a candidate to:

    1. Assist with management of shipping from Germany to USA and USA to domestic customers.
    2. Record status of sales in Salesforce
    3. QuickBooks online accounts payable and accounts receivable data entry
    4. Creation of Purchase Orders and Invoicing

    These assignments will be given to the candidate who can demonstrate strong organizational skills, understand business protocol, display energetic work style, and excellent communication skills while being a self-starter.

    Responsibilities

    Pay bills

    Invoice Customers

    Create Purchase Orders

    Provide administrative support to sales teams

    Record sales activity in Salesforce and QuickBooks

    Maintain accurate records of shipments, deliveries, and other logistics concerns

    Keep Salesforce up to date with tracking of projects

    Monitor and respond to incoming emails

    Create and maintain daily reporting by project with status of orders including receipt of purchase orders, receipt of payment, record and track estimated shipment dates, and maintain communication with customers about status.

    Work closely with international and domestic carriers by creating international documents needed for shipments

    Work efficiently to track, record, and invoice customer on all shipments using QuickBooks

    Identify and solve all transportation issues, report delays, and investigate supply management concerns

    Paying logistics invoices and recording cost by project

    Identify opportunities in the current logistics system to save money on shipping

    General office duties including typing, scanning, filing, and calendaring.

    Qualifications

    Positive attitude with can-do approach to tasks

    Self-starter with eagerness to efficiently solve problems

    QuickBooks online certification, a plus

    Experience with Salesforce CRM, a plus

    Previous experience with logistics or supply chain management, a plus

    Proficiency with Microsoft products (excel, outlook, word). Test will be given

    Excellent typing 50+, test will be given

    Strong communication including writing skills and ability to communicate professionally with customers and staff

    The ability to multitask, shift priorities, and work under deadlines

    Accounts Payable experience.

    QuickBooks Online experience, a plus but not required.

    Education: Prefer college graduate from an accredited university or 5 years on the job experience with similar duties
