Scheduling Coordinator
Location: West Springfield, MA Full-Time Schedule: Monday-Friday, 9a-5p
Pay: $22/hr
The Relief & Scheduling Coordinator is responsible for ensuring adequate staffing coverage across programs by managing schedules, filling vacancies, and deploying relief staff efficiently. This role requires real-time problem-solving, strong communication, and the ability to work with scheduling platforms and databases to optimize relief staff utilization.
Key Responsibilities:
Scheduling & Vacancy Management:
Manage and coordinate schedules for Relief, FLEX, and Temp staff across multiple programs
Identify and fill shift vacancies efficiently
Monitor open shifts and proactively address coverage gaps to ensure program needs are met
Respond quickly to last-minute callouts or scheduling conflicts, adjusting coverage as needed
Staff Coordination & Oversight:
Ensure staff schedules comply with shift requirements, policies, and program needs
Approve staff transfers and update records accordingly in internal database
Track and manage leave requests
Work with leadership to train and support relief staff in understanding scheduling processes
Communication & Stakeholder Support:
Under the guidance of the Scheduling Manager, serve as the point of contact for scheduling inquiries from staff and program leaders
Work closely with program managers to anticipate and address staffing needs
Maintain a positive and collaborative work atmosphere, ensuring smooth scheduling operations
Qualifications:
Required: 1+ years of experience in scheduling, staffing coordination, or workforce management.
Proficiency in scheduling software (e.g., ShiftBoard) and office applications (Excel, Word, Outlook)
Strong organizational and problem-solving skills
Ability to multi-task and respond quickly to staffing challenges
Experience in human services or residential programming is a plus
Excellent verbal and written communication skills
