As we continue to grow, we are looking for a highly organized Senior Administrative & Project Coordinator to support senior leadership in operations, financial oversight, vendor management, and IT coordination.     Position Overview

    The Senior Administrative & Project Coordinator will play a key role in streamlining daily operations, managing vendor relationships, supporting financial reporting, and driving small-scale projects to completion. The ideal candidate is a self-starter who takes full ownership of responsibilities, anticipates leadership needs, and ensures smooth business functions.

    Key Responsibilities:

    Administrative & Executive Support
    • Manage senior leadership’s schedules, travel arrangements, and correspondence.
    • Coordinate meetings, prepare presentations, and oversee event planning.
    • Handle confidential information with professionalism and discretion.
    Financial Oversight & Reporting
    • Prepare and review financial documents, including budgets, expense reports, and forecasts.
    • Track financial performance and provide regular financial updates to leadership.
    • Assist with invoicing, payment processing, and basic financial analysis.
    Vendor Management & Procurement
    • Research, evaluate, and onboard new vendors to enhance operational efficiency.
    • Review vendor contracts and agreements to ensure alignment with business needs.
    • Maintain strong vendor relationships and oversee contract renewals.
    Project Management & Process Improvement
    • Take full ownership of small-scale projects, ensuring on-time completion.
    • Work cross-functionally with teams to streamline workflows and optimize processes.
    • Provide regular progress updates on projects and vendor performance.
    IT Coordination & Technical Support
    • Troubleshoot minor IT issues and coordinate with IT teams for larger problems.
    • Ensure the proper functioning of office technology, including software and hardware tools.
    • Research and implement new tech solutions to enhance productivity.

    Must-Haves

    • Proven experience as an Executive Assistant, Operations Coordinator, or similar role.
    • Strong financial acumen with experience in budgeting, reporting, and financial oversight.
    • Project management experience with the ability to coordinate cross-functional teams.
    • Experience in vendor management, including contract negotiation and evaluation.
    • Tech-savvy with proficiency in Microsoft Office, financial software, and IT troubleshooting.
    • Strong problem-solving, communication, and organizational skills.
    • A go-getter attitude, capable of working independently and taking full ownership of tasks.
