    Professional Search Group OC is seeking a Service Administrator to support our clients growing company. This role requires strong administrative, customer service, and accounting support skills to ensure seamless service operations. The ideal candidate will be proficient in Microsoft Office, have experience with service contract administration, and be able to manage vendor records, invoicing, and customer interactions. Experience in fire protection is a plus!

    Service Administrator Responsibilities:

    • Maintain up-to-date records on special vendors and provide backup of all correspondence and service details through completion.
    • Enter service vendors’ purchase orders (POs) and process invoices for approval before the end of the month to ensure timely billing.
    • Follow up with service vendors for invoices to facilitate work order (WO) billing by month-end.
    • Maintain the integrity of Service Contract files and ensure compliance with policies and procedures.
    • Provide backup support to the Contract Coordinator as needed.
    • Respond to information requests or additional project needs as defined by management.
    • Review and update administrative reports and ensure accurate documentation.
    • Interact with customers and vendors to ensure high-quality service, contract compliance, and timely paperwork processing.
    • Maintain confidentiality of all processed information.
    • Assist other coordinators with follow-ups and administrative support as required.

    Service Administrator Qualifications & Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with database and spreadsheet applications.
    • Strong understanding of standard office and accounting practices.
    • Excellent communication, interpersonal, and customer service skills to effectively interact with customers and construction personnel.
    • High attention to detail, organization, and time management.
    • Experience in fire protection services is a plus.
