Position Description: Service Coordinator FSLA Classification: non-exempt Reports To: Executive Director
Job Summary Responsible for providing appropriate office managerial, bookkeeping, clerical, and program support for the Division.
Essential Job Functions
Maintain PASSE requirements
Prepare and maintain office correspondences and reports (i.e. employment, accounting, client information, etc.) in accordance with policy and procedures
Maintain the office in an environment conducive to work
Answer phones; purchase supplies; process all incoming and outgoing mail/shipments
Ensure office equipment is in working order and request replacement as needed
Code and submit accounts payable bills as required
Ensure that training courses both Evergreen-specific and state-specific are available, conducted, and documented appropriately.
Schedule the appropriate trainers for all training required. Conduct training directly if needed.
Assist with the orientation process for new employees
Abide by all policies, procedures, regulations, and guidelines for safety, quality assurance, and general corporate oversight.
Assist with all administrative duties for the Division as required (i.e. Human Resources, Finance, etc.).
Complete new hire packets (including all insurance forms), workers' compensation reports, vehicle accident reports, and unemployment claim information and forward them to the Home Office for processing withinthe required time frame
Conduct reference checks of applicants.
Explain company benefits to employees and when necessary seek additional clarification.
Maintain employee files and ensure confidentiality.
Verify and maintain all employee driver’s licenses and auto insurance information.
Complete all PCNs and required documentation for staff changes.
Complete and mail all Medicaid, Medicare, Insurance, V.A. ,and Welfare billing forms and reports as appropriate
Conduct routine environmental audits of each residential area
Maintain Worker's Compensation documentation and related reports (OSHA 300 log)
Establish Representative Payee status for new clients with Social Security and prepare and submit annual payee reports to Social Security
Maintain resident accounts timely; submit patient liability funds and account balances monthly; provide quarterly report to guardians/individuals
Follow/ensure all federal and state guidelines regarding financial accountability
Maintain census billing information as required
Maintain Consultants/Contracts documentation
Act as staff, community, and vendor liaison
Conduct investigations as requested
Physical Requirements

Qualifications/Experience/Job Knowledge
Bachelor's Degree in a related field preferred or 4+ years of experience
Read, write, and follow verbal and written instructions
Working knowledge of computers
Experience working in the field of intellectual and developmental disabilities
Attention to detail
Employment Variables
Some evening and weekend work may be required to meet the needs of the division. Will be in constant contact with staff, consumers, their families, and other support agencies.
Must have a good driving record with no more than three (3) insurance points.
