  • Responsibilities

    POSITION SUMMARY:

    Coordinates daily activities within the Service Department. Position reports directly to Associate Director Service Operations.

    ESSENTIAL DUTIES AND RESPONSIBILITES: Additional Duties may be assigned • Provide administrative support to Service Department • Maintain department calendar for scheduling providing constant updates as needed • Coordinate technician visits both domestic and abroad as needed • Provide prompt and courteous responses to customer inquiries • Prepare and submit all service department quotations to customers • Obtain all service visit purchase orders from customers • Maintain tracking log for all service projects between Pester USA, Inc. and Pester Germany • Schedule and participate in customer conference calls as needed • Keep track and record all SAT forms completed • Create sales order after each service is completed and provide to Accounting for invoicing to customer • Other Service department related activities (including but not limited to: o Reconcile Service Technician American Express statements for Month end closing o Reconcile time sheets and expenses against work orders o Provide Accounting with service technician hours for monthly closing Shop Hours o Reconcile American Express statements for each technician Month end closing o Approve T-sheets for Service Group

    EDUCATION/KNOWLEDGE/SKILLS AND ABILITIES: • Minimum of high school diploma or equivalent with two years post-secondary preferred • Excellent typing and computer skills, with good working knowledge of Microsoft Word, Excel, Power Point, QuickBooks, e-mail and internet • Strong verbal, written, and electronic communication skills along with the ability to work closely with internal and external staff and customers • Ability to organize work and prioritize workload to successfully complete tasks on time with minimal guidance • Ability to follow-up on ongoing projects and with strong ability to multitask • Must be able to work in a fast-paced environment • Ability to work independently • Must be able to problem solve and apply knowledge to new situations and with the ability to question processes and provide improvement suggestions • Customer service and administrative background preferable • Flexibility with work hours (work overtime if needed)

    PHYSICAL DEMANDS and Work Environment: • The work environment is an office environment with a noise level that is usually quiet • Ability to perform those physical activities required for the essential functions of the position including, but not limited to, continual sitting, regular walking and ability to be mobile, frequent keyboarding, continual talking and hearing in person and over the phone, continual seeing, repetitive movements with hands and arms, and all other physical activities as needed in the performance of the essential functions of the job • Employee may be required to run company related errands and attend off-site meetings • The employee must be able to operate, maneuver and/or control a motor vehicle and have a valid driver’s license. In performing the driving responsibilities, the driver may sit for long periods. • Individual must be able to travel domestically and internationally as needed.

    RELATIONSHIPS AND CONTACTS: Internal daily contact Service Manager, Accounting Manager, Service Technicians, Service Department and office staff (USA and Germany). External contact with vendors and clients.
