    Job Description

    The incumbent will provide integral support to project administration and management within the Service Department, working with the Service Department Supervisor to ensure seamless coordination of service calls, accurate information documentation, and meticulous data entry. Responsibilities include but are not limited to facilitating, documenting, and analyzing customer requests, essential documentation, and technician schedules.

    The role necessitates exceptional multitasking abilities and a strong aptitude for customer service. Prospective candidates should embrace a collaborative character, as joining our team entails contributing to a culture of continuous process refinement and mutual advancement. A proactive attitude toward embracing change and adapting to novel strategies is imperative. This position is office-based, with standard hours from Monday to Friday, 8:00 AM to 5:00 PM.

    Assists the Service Department by performing the following:

    • Assisting in preparing project proposals, invoices, and pertinent project documentation.
    • Maintaining meticulous records of project information for documentation, clarification, and presentation to management.
    • Engaging with clients to discern and delineate project requisites, scope, and objectives.
    • Aiding in the oversight and monitoring of project advancement, scheduling, and status.
    • Providing general assistance to Project Administrators when required.
    • Furnishing support with miscellaneous data entry tasks.

    Additionally, the role entails fulfilling general administrative duties within the Office Administration domain, encompassing:

    • Handling incoming calls, screening, and directing them appropriately.
    • Assisting with various clerical tasks such as photocopying, faxing, filing, and collating.

    Education and/or Experience - Associate's degree (A. A.) or equivalent from two-year College or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience.

    Language Skills - Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.

    Mathematical Skills - Ability to add, subtract, multiply, and divide all units of measure, using a whole number, common fractions, and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.

    Reasoning Ability - Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

    Computer Skills - To perform this job successfully, an individual should have knowledge and experience working with Office365 and RingCentral.

    Additional Information

    While performing the duties of this Job, the employee is regularly required to sit; use hands to finger, handle, or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is occasionally required to stand; walk; climb or balance and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision and color vision. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles. The noise level in the work environment is usually moderate.
