    ACE Wellness Center is looking to hire a SPANISH SPEAKING OFFICE COORDINATOR to be responsible for the general operation of our Lorain, OH office. Duties will involve greeting visitors, answering incoming phone calls, purchasing office supplies, taking proper inventory, and supervising our office staff to ensure maximum productivity.

    To be successful, you will need to have prior experience in office administration, preferably in a clinical setting. You must also be proficient in Microsoft Office applications such as Word and Excel.

    Office Coordinator & HR Assistant Responsibilities:

    Overseeing general office operation.

    Greeting visitors, answering incoming phone calls and delivering world-class service to our customers.

    Coordinating appointments and meetings and managing staff calendars and schedules.

    Coordinating domestic and international travel, including flight, hotel, and car rental reservations when required.

    Purchasing office supplies and equipment and maintaining proper stock levels.

    Responsible for the management and coordination of all information for the agency.

    Supports office responsibilities, including but not limited to scheduling, reception, intake, medical record requests, and coordination of agency documentation.

    Verifying medical insurance coverage and benefits for clients.

    Scheduling appointments for services.

    Addressing any client complaints or concerns.

    Performing clerical work, such as filing, copying, and faxing.

    Preparing and maintaining client charts.

    Responsible for providing intake of individuals who participate in the therapy services utilizing all required forms and assuring quality of care.

    Answer requests related to therapy services by phone as well as face to face walk-in clients.

    Assist in the recruitment process by posting job openings, scheduling interviews, and coordinating candidate communication.

    Support onboarding activities, including preparing orientation materials, assisting with paperwork, and conducting new hire orientations.

    Assist in benefits administration, such as enrolling employees in health insurance, processing leave requests, and managing time-off records.

    Help maintain HR documents, forms, and templates, ensuring they are updated and easily accessible.

    Coordinate training and development programs, track attendance, and assist in

    Participate in HR projects such as process improvements, policy updates, and employee engagement initiatives.

    Assists with all Medicare, Medicaid, and private insurance billing; verification of unpaid claims; account follow-up; and monitoring of Medicare and Insurance accounts receivables.

    Other duties as assigned.

    Office Coordinator & HR Assistant Requirements:

    Three to five years of experience in office administration preferably in a clinical, or MH/BH setting.

    Receptionist experience.

    Ability to fluently read, write and speak English.

    Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.

    Experience with making adjustments in medical billing and collections preferred (will train)

    Ability to verify unpaid claims preferred (will train)

    Possesses the ability to adjust to constantly changing workloads.

    Job Type: Full-time Pay: $20.00 - $25.00 per hour
