Spiritual Development Administrative Assistant I
Position: Spiritual Development Administrative Assistant I Reports to: Pastor of Spiritual Development Status: Part-Time (25 hours/week) Classification: Non-Exempt
Description Summary
This position will work closely with the Pastor of Spiritual Development and the Adult Minister, along with the rest of the Spiritual Development department, to provide administrative support for the ministry within Spiritual Development (i.e. Adult Group Life, Twenty-Somethings, Men’s and Women’s ministry, Grow Studies, Legacy, Marriage, the Library). This position will help execute events and weekly ministry through their administrative support. Additionally, this position will bolster Twenty-Somethings by supporting and helping execute weekly services and events. Along with a passion for seeing people connected and growing in their walk with Christ, strong verbal and written communication skills are a must. Because of the varied scope of work required and the many individuals this position will interact with, this position requires someone able to manage multiple tasks, manage time well by prioritizing responsibilities, while maintaining great attention to detail.
Job Responsibilities
Provide administrative support for the Spiritual Development department (Adult Group Life, Twenty-Somethings, Men’s and Women’s ministry, Grow Studies, Legacy, Marriage, and Library), including: financial, facilities, communication, supply acquisition, and event support.
Provide support to help execute weekly Twenty-Somethings services and events.
Administrative
Respond to phone calls, emails, and other requests for information in a timely manner
Maintain forms/letters/correspondence
Make appointments and calendar requests through Planning Center for the department
Track attendance for Spiritual Development ministries
Coordinate large order supplies for Spiritual Development ministries
Coordinate printing curriculum and other print materials
Program Support/Events
Schedule meetings and events
Create and track registrations for ministry programs and special events
Provide all administrative support for Spiritual Development ministries
Support and help organize special events as they are developed
Provide weekly in-person support for Twenty-Somethings services (Thursday PM) and events (various times)
Communication
Weekly communication with first time guests to department programs/environments
Coordinate regular communication with ministry partners of various ministries
Financial
Submit requests for purchase orders and check requests
Process weekly Visa reports
Equipping and Overseeing Ministry Partners
Invite, develop and lead a team of office ministry partners to support Spiritual Development ministries
Participate in training and enrichment opportunities, as available
Library
Oversee library inventory and distribution (check out/in)
Communication with library clients and volunteers
Organize and direct volunteers to assist in running the Library
Keep library inventory system and patron accounts up-to-date

A member of PV in good standing, affirming the statement of faith and church covenant
Ability to analyze, develop and implement strategies which rely heavily on volunteers
Strong written, verbal, and interpersonal communication skills

Good judgment/discernment

Ability to equip and develop leaders to increase personal and ministry influence

Detail oriented and able to take initiative
Thorough knowledge of the Google Suite/computer skills; ability to learn new software
Customer Service skills/excellent people skills
Ability to prioritize jobs and projects and collaborate with multiple leaders
Chemistry that will work well with immediate supervisor and larger Spiritual Development ministry team
Willingness to implement the vision of PV and support its leadership
Weekend work during weekend services or Special Events may be required
Education / Experience
High school graduate or equivalent
Experience in equipping, training and motivating volunteers in the church or secular setting
Experience in leading in ministry settings preferred
Administrative experience in an in-person office environment.
