    Job Description: Procurement Coordinator We are currently seeking a detail-oriented and highly organized Procurement Coordinator to join our team. The Procurement Coordinator will play a vital role in managing the procurement process for new vehicle purchases. This role requires strong Excel skills, exceptional attention to detail, and effective communication abilities. Roles and Responsibilities: * Purchase Order Management: * Maintain purchase orders for new vehicle purchases. * Verify accuracy and completeness of purchase orders, ensuring alignment with pricing, vehicle specifications, and dealership requirements. * Coordinate with title clerks to track and expedite car titles, ensuring timely delivery of car title. * Data Tracking and Management: * Maintain and update daily excel files, including deposit historical log, incoming car pipeline, inventory tracking, and a master file for all purchased vehicles. * Regularly input and organize data related to car deposits, purchase order forms, and other procurement-related documents. * Ensure data accuracy and integrity through regular audits and cross-checking of information. * Car Title Tracking: * Track and manage the process of acquiring car titles from dealerships for newly purchased vehicles. * Coordinate with title clerks to track and expedite car titles, ensuring timely delivery of car title. * Liaise with dealership contacts to ensure timely receipt of car titles and resolve any title-related issues or discrepancies. * Maintain accurate records of car title status and follow up as necessary to ensure complete documentation for each vehicle. * Payment Requests and Finance Coordination: * Prepare payment requests for vehicle purchases and submit them to the finance team for processing. * Communicate with the finance team to ensure timely and accurate payments to suppliers and dealerships. * Maintain records of payment requests and monitor their status to ensure prompt resolution. * Documentation and Record Keeping: * Maintain organized and up-to-date records of all procurement-related documents, including purchase orders, invoices, delivery receipts, contracts, and car titles. * Ensure compliance with company policies and regulatory requirements by accurately documenting and archiving relevant procurement information. * Reporting and Analysis: * Generate reports and summaries from Excel files to provide insights into procurement activities, such as sales performance, inventory levels, order status, and payment tracking. * Analyze data trends and identify areas for process improvement or cost optimization. * Assist management in making informed decisions by providing accurate and timely procurement-related reports. * Communication and Collaboration: * Collaborate with sales, finance, and operations teams to facilitate a seamless procurement process. * Maintain effective communication channels with suppliers, manufacturers, dealerships, and the finance team. * Address any procurement-related queries or concerns from internal stakeholders and external parties. * Serve as a point of contact for dealership communications, including car title inquiries and issue resolution. Qualifications and Skills: (Include the previously mentioned qualifications and add the following:) * Strong numeracy skills and proficiency in handling financial calculations and payment requests. * Excellent verbal and written communication skills to effectively communicate with internal teams, external stakeholders, and dealership contacts. * Attention to detail and ability to accurately track and manage multiple car titles and payment requests simultaneously. * Proactive problem-solving skills to resolve any car title-related issues or discrepancies. * Ability to work independently and collaboratively within a team. * Familiarity with the automotive industry, dealership operations, and title transfer processes is desirable.
