delineation/reappointment program to ensure the programs integrity.
Provider general administrative support to the medical staff in this
regard. Responsible for executing numerous aspects of medical staff
services including scheduling and managing medical staff meetings,
preparing and printing meeting agendas, minutes and related
correspondence, processing in-coming mail for credentialing and
privileging and scanning. Essential Duties and Responsibilities include
the following. Other duties may be assigned. * Identify the customer
service aspects of each day-to-day interpersonal contact and acts
accordingly to maintain the highest-level of service in order to exceed
customers expectations. This could include, but is not limited to: *
Cordial greeting and interactions with all customers * Takes personal
responsibility to make all interactions inside and outside this
department as pleasant and as smooth as possible. * Demonstrate support
of each type of service delivered to customers by this department *
Credentialing/Privileging * Supports departmental operations *
Signature/date stamps and distributes in-coming correspondence,
applications, and scans to the database as instructed. * Conducting,
participating in and maintaining credentialing privileging is
coordinated accurately and timely in compliance with defined schedules.
- Conducting, participating in and maintaining primary source
verification * Collects and analyzes information thoroughly to identify
potential quality of care issues behavioral problems, documented
appropriate education and training. * Assures and maintains appropriate
data entree into the Cactus database per policy. * Prepares files in a
complete and organized manner to facilitate the Credentialing
Specialists review with the Department and Credentials Committee Chairs
review prior to the scheduled monthly meeting. * Interface effectively
with other hospital departments to integrate quality of care and risk
management findings in the proctoring and reappointment processes. *
Process follow-up requirements as directed for medical staff activity
documentation per policy and procedure. * Maintains credential files in
a method to meet unannounced regulatory and accrediting bodies review
and assists in file audit process. * Manages information (paper and
electronic) within the Kansas Statutes to maintain confidentiality of
peer review and credentialing information. * Responsible for providing a
weekly update to the Credentialing Supervisor of the initial and
reappointment application status, FPPE, OPPE, License expirations, Board
expirations, and Preceptor applications and process. * Attends meetings
as directed to distribute meeting material and records minutes as
required. * Composes, prepares and completes draft minutes within 7
working days of the meeting for the Department chairs or Directors
review. * Drafts follow-up correspondence for committee chairs review
and processes final correspondence in an effective/efficient manner to
meet committee deadlines. * Responsible for pulling volume reports for
reappointment applications. * Coordinates OPPE reviews with Department
Chairs and submitting copies of the reports to Quality Department and to
the Credentialing Specialists for providers reappointment files. *
Audits * Assist in preparation of packets for physician and advanced
practice professional orientations. * Annual review of Bylaws. * Posts
and accurately records deposit of medical staff funds * Coordinates and
schedules selected medical staff department meetings to include room
reservations, meeting notices, catering and other associated activities
related to conducting medical staff meetings in an efficient and
effective manner. * Attends Credentialing Specialist Meeting Annual
Medical Staff Meeting, Doctors Day Celebration and other meetings as
directed. * Present a professional and positive image and attitude in
the department and hospital. * Greet all customers (internal and
external) professionally and directs customers to the appropriate staff
person. * Phones calls are to be answered within 3 rings * Maintain
confidentiality of all business/work and medical staff information *
Ability toreport

workplace. * Establish and maintain harmonious working relationships
with superiors, co-workers, physicians, and customers. HS/GED; two years
experience working in a health care related position as an
administrative secretary, unit secretary or related position required;
college degree and credentialing experience preferred; proficiency in
Microsoft Word, CACTUS credentialing software and the Internet
