    Anthos|Home is an innovative nonprofit transforming the way New York City residents with housing subsidies locate and secure stable housing. Modeled after Brilliant Corners in California, Anthos|Home streamlines the apartment search, approval, and move-in processes while addressing gaps in the NYC voucher housing system. We aim to be a game-changer for New Yorkers who are unhoused or at risk of homelessness.

    THE ROLE

    The Tenant Coordination Intake Associate will work closely with the Tenant Coordination Program Administration Specialist to ensure seamless data management, accurate referral processing, and efficient team operations to ensure our referrals are housed as quickly as possible.

    The Tenant Coordination Intake Associate serves as the first line of contact for new tenant referrals and, through screening and follow-up, ensures all required documentation is collected. This role plays a crucial part in maintaining accurate participant records, facilitating smooth transitions into the housing process, and supporting the efficiency of the Tenant Coordination team. Additionally, the associate will handle key administrative tasks for the Vice President of Tenant Coordination.

    KEY RESPONSIBILITIES

    Intake & Screening:

    • Review and process incoming tenant referrals via FormAssembly.
    • Conduct initial screenings to ensure referrals meet eligibility criteria, including active vouchers and income/documentation verification.
    • Assign an “Internal Screening Completed” date for all eligible and complete referrals.

    Referral Documentation & Compliance:

    • Collect, verify, and upload all necessary participant documents into Salesforce, ensuring compliance with program requirements.
    • Track missing documents and follow up with participants and referral agencies to ensure completeness.
    • Maintain up-to-date records on referral screenings and withdrawals.

    Participant Communication & Onboarding:

    • Conduct introductory calls with case planners and participants to confirm referral information, set expectations, and provide an overview of the program.
    • Explain documentation requirements and onboarding next steps to participants.
    • Provide clear communication about voucher compliance, viewing expectations, and housing process steps.

    Referral Assignment & Matching Support:

    • Work with Tenant Coordination leadership and the Tenant Coordination Program Administration Specialist to ensure a smooth transition from referral screening to assignment.
    • Support data entry and data clean up.
    • Assist in identifying trends related to intake and assignment across the Tenant Coordination and Housing Acquisition teams

    Collaboration & Administrative Support:

    • Work closely with the Tenant Coordination Program Administration Specialist to track referral data, ensure accuracy in reports, and support program documentation.
    • Assist in preparing departmental meetings, compiling agenda items, and tracking follow-up actions.
    • Provide scheduling, correspondence, and operational support to the Vice President of Tenant Coordination.
    • Other Duties as Assigned.

    QUALIFICATIONS & SKILLS

    • 1-2 years of experience in housing services, social services, or administrative roles with a strong focus on documentation and intake.
    • Strong organizational and data management skills, including experience handling sensitive documentation and working with databases like Salesforce.
    • Excellent communication and customer service skills, with experience engaging with vulnerable populations.
    • Familiarity with NYC housing programs, vouchers, and subsidy systems (CityFHEPS, Section 8, HPD, NYCHA, etc.) preferred.
    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and database management systems.
    • Ability to work in a fast-paced environment and manage multiple priorities effectively.

    COMPENSATION & BENEFITS

    • Salary Range: $55,000 - $57,000 (dependent on experience).
    • Hybrid work environment (3-5 days in the office or in the field).
