    Job Description

    POSITION:       OFFICE MANAGER & EXECUTIVE ASSISTANT TO CEO AND GENERAL COUNSEL

    LOCATION:     New York, NY

    HOURS:           40 hours/week 

     

    ABOUT THE POSITION

    • ATG is a live entertainment company.  The full-time position of Office Manager & Executive Assistant manages front office administration including greeting clients and visitors, contacting employees regarding visitors, answering phones and taking messages, and sorting and distributing mail and general day to day office management and communications. There is substantial room for creativity and to make this role your own.

     

     

    PEOPLE, PLACES, AND THINGS

    • Greeting and assisting clients and visitors with a positive, helpful attitude.
    • Answering, forwarding, and screening phone calls in a professional manner; routing calls as necessary.
    • Assisting with administrative tasks including copying, faxing, and making travel plans.
    • Sorting, distributing and preparing mail (USPS, FedEx, Courier, etc).
    • Maintaining a welcoming, clean and organized office. 
    • Tracking and scheduling office equipment maintenance and requesting proxy cards/building access cards
    • Managing office supply inventory/orders.
    • Managing cleaning service company & recycling. 
    • Acting as the liaison between the building, vendors, and the office as well as between senior and junior leadership.
    • Preparing office team breakfast/lunch meetings, birthday celebrations and special events including the NY Office holiday gathering.
    • Tracking availability of shared office spaces and conference lines.
    • Troubleshooting technical issues. 
    • COVID-19 vaccination is a condition of employment.

     

    EXPERIENCE AND SKILLS 

    • Previous office management or executive assistant experience preferred, but not required
    • Strives for excellent Customer service and experience
    • Experience with administrative and clerical procedures.
    • Able to contribute positively as part of a team, helping with various tasks as required.
    • Enjoyment of Live Entertainment a plus, but not a requirement.
