    Job Description

    PERFORM A VARIETY OF ROUTINE AND NON-ROUTINE ADMINISTRATIVE TASKS IN SUPPORT OF ASSIGNED INDIVIDUALS, GROUP OF INDIVIDUALS OR LOCATION. INTERFACE WITH ALL DEPARTMENTS OF THE ORGANIZATION TO INCREASE USE OF THE TRAVEL & EXPENSE PLATFORM.

    RESPONSIBILITIES INCLUDE, BUT NOT LIMITED TO:

    1. Coordinates all incoming help desk tickets for Facilities and Fleet to appropriate personnel and ensures prompt follow-up with internal stakeholders.
    2. Ensure timely processing of all vehicle registrations for company fleet.
    3. Assist departments with booking travel for employees as needed.
    4. Reconcile all travel expense & corporate support transaction activity on company credit card.
    5. Work with Travel company to ensure best deals are received for car rentals & hotels.
    6. Research & verify department invoices for payment.
    7. Handle fulfillment of all office and coffee supplies as needed.
    8. Assist with meeting coordination (meeting space, food, drinks, equipment, materials, etc.)
    9. Coordinate and confirm all aspects of event planning, including air travel, ground transportation and hotel as needed.
    10. Perform additional assignment as requested/needed.

    Qualifications:

    • 4-yr business or technical degree plus a minimum 2-year administrative experience (or minimum 6 years work history demonstrating levels of skill, knowledge, and experience)
    • Ability to organize and coordinate individual and group work efforts
    • Ability to multitask between a variety of job responsibilities
    • Excellent communication (verbal and written) and interpersonal skills
    • Requires independent judgement and absolute discretion
    • Proficient research and analytical skills
    • Ability to perform job with minimal guidance or supervision
    • Advanced computer skills and ability to apply technology to the work environment
    • Strong written and verbal communication, interpersonal, and organizational skills
    • Ability to resolve conflicts and negotiate solutions
