    POSITION SUMMARY

    The Family Business Consulting Group is in search of a dynamic, tech-savvy, and detail-oriented fulltime Executive Assistant (internally known as the Consultant Services Specialist) to provide essential support to our consultants engaged in client projects. This role requires a proactive problem solver with strong communication skills, adept at managing schedules, coordinating logistics, and maintaining confidentiality. The ideal candidate will contribute to the success of projects by refining internal processes, handling administrative tasks, and ensuring clear communication with clients and consultants. Adaptability, attention to detail, and a commitment to professionalism and excellence are essential in this fast-paced consulting environment.

    This hybrid position is based at our Kalamazoo office, with in-person attendance discussed and agreed upon with the manager, as required for business needs. Remote work is feasible when office presence isn't necessary. The role also involves the need to travel and participate in our one-day in person meetings at our Chicago headquarters up to 4 times a year and participation in 4 two-day firmwide quarterly meetings within the Chicagoland area, starting Wednesday evening and concluding Friday afternoon (your nights away are about 2-3 nights per quarter).

    RESPONSIBILITIES

    Key responsibilities include:

    • Manage scheduling for consultants, including agendas, mail, email, phone calls, client management, and other project logistics
    • Coordinate complex scheduling and calendar management, as well as content and flow of information to clients on behalf of consultants
    • Assist with monthly billing, travel logistics and meeting activities, conference registrations, and other administrative activities
    • Clear and professional communication with clients and consultants, via email, text, calls and other communications
    • Provide administrative and office support, such as typing, dictation, meeting notes, spreadsheet creation, faxing, and maintenance of filing system and contacts databases
    • Maintain professionalism and strict confidentiality with all materials and communications
    • Organize client meetings and events, planning logistics from food to lodging, both virtual and off-site
    • Create, edit and finalize reports, PDF’s, PowerPoint slides, Word documents and other work product
    • Use specialized software like GenoPro, DiSC, and other programs

    DESIRED QUALIFICATIONS & SKILLS

    • Seeking candidates with a minimum of 4 years of experience in an administrative support role, ideally with a background in supporting upper-level management or executive leadership
    • Excellent written and verbal communication skills
    • Strong time-management skills and an ability to organize and coordinate multiple concurrent projects, juggling many tasks at once
    • Proficiency with Microsoft Office, Google Workspace, and Salesforce with an aptitude for learning new software and systems
    • Flexible team player, willing to adapt to change and unafraid of new challenges
    • Ability to maintain confidentiality of information related to the company, its consultants, and its clients

    COMPENSATION

    • Base salary range: $65,000 - $75,000 annually; Compensation is commensurate with experience
    • Medical, dental, vision, life insurance coverage, and FSA/HSA, plus more
    • 401(k) with up to 4% employer contribution match
