    Responsibilities of the Assistant Spa Manager:

    Assisting the General Manager with the daily organization and management of team members, guests, schedule, inventory and management software.

    Assisting the General Manager in training front desk team members on all of their job responsibilities, and ensuring that the performance of their duties are held to the proper standards as set forth in the operations manual.

    Support General Manager with Spa Professional and Hospitality staff recruiting, interviews, hiring, spa orientation. The Assistant Spa Manager will be responsible for all phone interviews and first contact to ensure candidates moving forward to the interview phase are quality candidates. ASM will utilize CareerPlug and maintain all open job ads are current and correct. ASM will schedule interviews for prospective candidates with appropriate department heads and send assessments or additional information to candidates. ASM will schedule practicals with Department Leads for evaluation.

    Assist with employee onboarding, preparing the Spa Professional Manual and spa orientation.

    Support General Manager with Hospitality Team testing, performance reviews, scheduling and discipline.

    Responsible for ensuring appointment book and schedule is optimized and accurate.

    Ensure all front office procedures are adhered to, including proper opening/closing, proper guest check-in/checkout procedures, discounts policy, issue resolutions, etc.

    Upon the absence of the General Manager, the Assistant Spa Manager must respond to online reviews and handle to all customer situations or complaints that arise immediately.

    Assist with placing POs, receiving orders, inventory management, and inventory database in Meevo for all departments of the spa. Including, using Meevo or other software to track items that are not selling and identifying items that need to be on sale or dropped from the retail line.

    Researching new retail opportunities that fit within Woodhouse Day Spa Fort Worth’s demographics and targeting new avenues for retail sales.

    Ensure the safety of guests and team members.

    Assist with planning and execution of events or parties.

    Organization of front desk, retail area and spa.

    Ensure guest service and quality control standards are upheld daily.

    Educate guests on spa services and retail products.

    Ensure proper lighting, music, cleanliness, and aromatherapy as set forth in the Ambiance Standards.

    Abide by all protocols set forth by THE WOODHOUSE SPAS CORPORATION.

    Act as the Manager on Duty when the General Manager is not on the premise: running the day to day operations of the spa as needed and work alternating schedules to ensure a “Manager on Duty” all days in the spa.

    Desired Skills:

    Desired skills include sales, administrative, human resources, advanced computer, organizational, superior communication, retailing, and training. Spa experience preferred.

    Help management maintain an atmosphere that makes employees want to come to work. Must be a “team player” and understand the importance of staff happiness, including affirmation of excellence by all staff. Be an example of positivity and optimism.
