Job Description
One of southern California's fastest growing boutique plastic surgery practices, Tim Sayed MD, is in need of a skilled front-desk and phone receptionist and clerical assistant. We have two offices in La Jolla/UTC and in Newport Beach. This position would be based in the La Jolla location but would handle all inbound inquiries from phone and web leads for both offices. Experience in the plastic surgery, medspa or dermatology space would be ideal but we will also consider very personable, customer service-oriented individuals from the cosmetic retail space. You would be working alongside an experienced office manager, one or more medical assistants/nurses and other staff we may recruit to grow the practice. If you have medical assisting experience, that would be a plus but is not a requirement for the position.
Job responsibilities include, at minimum:
Answering the phone and assisting in surgical scheduling
Responding to new patient inquiries from phone or web.
Scanning paper documents, ensuring patient data entry and corresponding with patients and other staff on tasks.
Clerical document completion including assisting in insurance and disability paperwork requests
Logging all calls and email communications to ensure timely followup with all patients.
Assisting in preparing cosmetic surgical quotes and helping patients with financing questions as a backup to patient coordinator and office manager staff.
Participating in social media promotion of the practice (we are recruiting for a dedicated social media manager as well).
Learning to use any EMR/Practice management and other software systems required by the office.
Rooming patients, assisting as necessary in cleaning the rooms after each encounter - this is mostly the clinical team's duty but everyone helps out.
Assisting the medical team on maintaining supply inventory.
Following up on laboratory and pathology results, scanning reports into medical record software.
Maintaining compliance documentation, credentials and other important paperwork with the office manager.
Full-time (30+ hours) or part-time employment (20-29.5 hours) is available and some work-from-home flexibility is available. Health and dental benefits are available to full-time employees. The ideal candidate will be seeking a full-time role and is career-minded.
Requirements:
Professional demeanor and attire in the office and professional social media habits
Excellent communication skills - you will represent the practice to the outside world
Proficiency in Microsoft Office, Gmail, Instagram, Facebook, and calendar tools
Good organizational and prioritization sklils
Experience with electronic medical record software like Symplast a plus
Successful passage of background and criminal check
Availability to start as soon as possible - we are growing and you will be busy from day one!
