Transaction Coordinator (Part-Time, Hybrid – Bryn Mawr, PA) We are looking for a dedicated, energetic, and highly organized Transaction Coordinator to support our real estate team. The ability to adapt to new technology, manage digital tools efficiently, and oversee a virtual assistant is essential. This is a part-time hybrid position, requiring in-office presence two days a week in Bryn Mawr, PA. Responsibilities: • Coordinate and attend all closing procedures, such as moving schedules • Ensure inspections are scheduled and assist with negotiating and completing any necessary repairs • Save customer information in the CRM system, forward all necessary paperwork to the office broker for file compliance, and track transaction activities • Help agents, customers, and other parties with all escrow paperwork, including appraisals, titles, and mortgage loans • Supervise all administrative duties for home buyer and seller transactions from contract to close Transaction Management & Compliance • Oversee all buyer and seller transactions from contract execution to closing • Ensure all contracts and listings comply with industry regulations and brokerage policies • Manage transaction checklists and deadlines to ensure a smooth closing process Client & Team Communication • Serve as the main point of contact for clients, agents, lenders, and service providers, ensuring timely and effective communication • Keep the team updated on transaction statuses and flag any potential issues needing attention • Provide exceptional client service by anticipating needs, addressing concerns, and offering solutions Coordination, Technology & Organization • Schedule and coordinate inspections, repairs, and closing procedures • Maintain organized vendor and service provider records • Handle post-closing disbursements, filings, and required compliance documentation • Update and manage tasks in Asana to keep transactions on track • Track new listings and contracts in the CTE system • Effectively manage a virtual assistant , ensuring tasks are delegated efficiently and completed on time • Utilize and adapt to new real estate technology tools to streamline processes and improve efficiency Who You Are: • Tech-Savvy & Adaptable: You are comfortable using real estate software, CRMs, and communication tools and can quickly learn new platforms • Professional & Kind: You take pride in your work, communicate with clarity, and value positive interactions with clients and team members • Highly Responsive & Collaborative: You are a proactive team player who ensures no detail falls through the cracks • Accountable & Humble: You take ownership of mistakes, learn from them, and continuously seek improvement • Energetic & Enthusiastic: You bring a vibrant, solutions-oriented mindset and a passion for helping others • Growth-Minded: You embrace learning opportunities and can navigate the ebbs and flows of the real estate industry with confidence • Qualifications: • Previous experience in transaction management, transaction coordination, real estate, titles, or mortgages highly valued • Real estate license preferred • High school or equivalent required, some college experience preferred • Candidates should be organized and able to communicate written and verbal information to clients accurately and clearly • Motivated to serve people and provide excellent customer service Compensation: $20 - $22 hourly
