    Department: Service Reports To: Service Director / Service Manager Location: Omaha, NE Office Type: Full-Time (45 to 50 hours a week) Pay: $24 to $27 Hourly

    Position Summary:

    The Traveling Manager is responsible for the strategic planning, coordination, and execution of all travel-related needs for a service team currently consisting of 15 traveling employees, with the expectation of expanding to 20+ in the coming months. This role ensures efficient and seamless travel coordination, including flight arrangements, hotel accommodations, car rentals, equipment rentals (such as boom lifts), and expense tracking. A strong focus on compliance with company travel policies, cost-efficiency, and continuous improvement is essential.

    In addition to managing travel operations, the long-term goal for this role includes taking on the responsibility of scheduling service technicians, in coordination with account managers and the office service team. This function is currently managed by the Service Director, who will also serve as the direct supervisor for this position. The transition into scheduling duties will be gradual, with responsibilities phased in over the first 2 to 3 months.

    This position will involve regular communication with property management teams and on-site personnel at the properties we service. Strong organizational, interpersonal, and multitasking skills will be key to succeeding in this evolving role.

    Key Responsibilities:

    Travel Planning & Coordination

    Plan and coordinate all travel arrangements for employees, including flights, accommodations, ground transportation, and travel insurance.

    Develop and manage travel itineraries aligned with project schedules and employee availability.

    Liaise with employees to understand specific travel needs and preferences, while adhering to company policy and budget.

    Vendor & Booking Management

    Establish relationships and negotiate rates with airlines, hotels, car rental agencies, and travel booking platforms.

    Manage bookings through corporate travel portals or travel management systems (e.g., CLC, Engine, or CTM).

    Monitor travel bookings to ensure cost-efficiency and availability.

    Policy & Compliance

    Ensure travel practices align with corporate policies, safety standards, and regulatory requirements.

    Maintain and update company travel policies, including per diem rates, preferred providers, and reimbursement guidelines.

    Help to educate employees on travel policy and procedures.

    Budgeting & Cost Control

    Monitor and manage the travel budget, aiming to reduce costs without sacrificing comfort or safety.

    Analyze travel spending trends to identify opportunities for savings or process improvements.

    Reporting & Analytics

    Maintain accurate records of all travel-related activities and expenditures. Also, ensure the receipts for all purchases made while in this position are documented appropriately.

    Generate regular reports for upper management regarding travel costs, employee feedback, and vendor performance.

    Track employee satisfaction with travel arrangements and address concerns.

    Emergency & Risk Management

    Serve as the point of contact for traveling employees in case of emergencies or disruptions.

    Coordinate travel changes and cancellations promptly when required.

    Monitor national travel advisories and communicate relevant updates to employees.

    Technology & Tools

    Utilize travel management software and databases for booking, approvals, and reporting.

    Leverage tools like Connect Teams, CenterPoint, and communication systems to streamline processes.

    Qualifications:

    Previous experience scheduling 5 or more service employees.

    3-5 years of experience in corporate travel management or operations coordination.

    Strong knowledge of travel platforms.

    Familiarity with international and domestic travel regulations and documentation.

    Ability to multitask, prioritize, and work under pressure.

    Proficiency with Microsoft Office Suite, especially Excel, and travel expense software.

    A bachelor's degree in business administration, Hospitality, Travel Management, or a related field is preferred but not mandatory.

    Preferred Skills:

    Experience managing travel for large teams or remote-first companies.

    Understanding of travel-related tax implications and duty-of-care practices.

    Excellent negotiation, communication, and interpersonal skills.

    High level of discretion, organization, and attention to detail.

    Work Environment:

    Office-based with no required travel.

    A fast-paced environment with the occasional need for off-hours responsiveness to support travelers across time zones.
