    Tribal Housing Office Associate

    Reports to: Tribal Housing Manager

    Salary (Grade): $16.17 (G10-E)

    Status: Reg. Full-Time (Non-Exempt)

    Job Purpose & Position Overview:

    This position varies in all sorts of clerical duties, such as typing data entry, knowledge of Tribal Housing areas, routing telephone calls, and other duties assigned by the Manager.

    Specific Job Duties/Responsibilities:

    Demonstrates the Winnebago Tribe’s core mission, vision, and values.

    Assist in maintaining all lease information for tribal housing tenants ensuring all leases are current and all provisions are adhered to.

    Maintain all financial records for rental payments to ensure all rent is paid in a timely manner.

    Type’s correspondence, reports, schedules, filing necessary paperwork, and greeting the general public with courtesy.

    Sorts and maintains all correspondences, mail, emails, reports, invoices, records, requisition forms and other materials pertaining to Tribal Housing business alphabetically.

    Answers the telephone and give information to callers or routers calls to appropriate persons and may place outgoing calls to other businesses.

    Shall be responsible for ordering and payment of office supplies, equipment and etc.

    Assist in maintaining a list of qualified housing applicants. Evaluate and rank applications as they are received and as vacancies occur.

    Work with prospective tenants to complete all necessary documentation. Perform credit, employment and reference checks on all applicants. Maintain all documentation in applicant/tenant file. Ensure confidentiality is maintained.

    Assists in assuring all filing systems for tenant’s files are correct, and amend as needed and maintain confidentiality of files.

    Assist in performing housing inspections as required for vacant units or where necessitated by tenant request or need. Provide input and recommendations to tenants regarding cleanliness and maintenance of units. Ensure lease provisions are adhered to.

    Respond to tenants needs for service in a timely and professional manner.

    Required Qualifications/Skills:

    High School Diploma or verifiable GED

    Knowledge of all office machine equipment, and general clerical work experience.

    Must have typing skills

    Experience in computer programming, such as word, excel, and access.

    Knowledge of financial record keeping (basic accounting, bookkeeping, etc.)

    Ability to deal with the public courteously and tactfully, and to convey concise and accurate explanation of policies and procedures.

    Ability to maintain and organize information within prescribed systems and procedures.

    Knowledge and skill in the operation of all Tribal Housing/Home Improvement Program/Home Repair Program.

    Self-starter with the ability to perform with little or no direct supervision.

    Must be able to maintain confidentiality of information.

    Must have a valid driver’s license and meet driver eligibility guidelines

    Education Preference:

    High School Diploma or G.E.D. is preferred.

    Training Requirements:

    Must be willing to attend meetings and trainings as requested.

    Physical Requirements:

    Normal to light office work which includes the ability to lift up to 10 lbs.

    Regularly required to walk, stand, and sit for extended periods of time and use hands to operate computer keyboard, phone, and various office equipment.

    While performing daily duties, the employee is regularly required to talk and listen.

    Mental Requirements:

    Reading, writing, calculating

    Above average social interaction skills

    Reasoning/Analysis

    Ability to work as part of a team and/or with minimal to no supervision.

    Language Requirements:

    Must possess the ability to read, write, and speak the English language fluently.

    Must be able to continually and effectively employ professional verbal and written communications skills.
