    JOB SUMMARY:

    The Executive Assistant will be primarily responsible for supporting the CSO and supporting the executive team as directed, to ensure that the company goals and objectives are accomplished.

    ESSENTIAL FUNCTIONS:

    • Manage professional and personal scheduling for CSO, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
    • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives.
    • Manage, coordinate, and arrange senior executives’ travel and travel-related activities, including hotel booking, transportation, and meal coordination.
    • Perform administrative and office support, such as building and maintaining spreadsheet creating presentations, building reports, updating databases and computer programs and maintaining files.
    • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
    • Organize team communications and plan meetings and events, both internally and offsite
    • Performs other duties as assigned and/or required.

    EDUCATION AND EXPERIENCE:

    • At least 3 years experience in administrative role reporting directly to upper management
    • Bachelors degree preferred
    • Previous experience in medical industry or start-up industry preferred

    • Excellent time management skills
    • Ability to multitask
    • Ability to keep company confidences
    • Proficient in Microsoft Office Suite, apps and e-tools (such as e-calendars or appointment programs) or related software; aptitude to learn new software or programs
    • Organized with attention to detail

    WORK ENVIRONMENT:

    The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

    The employee will normally work in a temperature-controlled office environment, with frequent exposure to electronic and office equipment.

    PHYSICAL DEMANDS:

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

    • Prolonged period of sitting at a desk and working on a computer
    • Must be able to lift 15 pounds at times.
