A large, global, medical device company in Irvine has an Administrative Assistant opportunity. The role of the Administrative Assistant offers the opportunity to assist a dynamic Legal team. The Administrative Assistant's role requires a proactive self-starter, who possesses high integrity, exceptional multi-tasking and communication skills, both oral and written. A high level of professionalism, organization, accountability and flexibility are essential. The successful candidate will be experienced and highly skilled in working with business professionals, preferably in a global corporation, and must be able to represent the department with professionalism in frequent interactions with peers, customers, industry leaders, and corporate executives. The ideal candidate will have a strong attention to detail, as well as, high levels of discretion and judgment. Specific responsibilities will include: Effectively and proactively manage the attorney calendar, appointments, email, and office filing/organization. Coordinate domestic & international travel, hotel accommodations, meeting schedules and all travel details. Answer/screen calls and draft correspondence, proactively own and manage meeting agendas, and track deadlines. Help plan and execute on meetings and training events. Interact professionally with all levels of Edwards’ employees, customers, vendors, patients, and legacy founders. Invoice review and processing Provide administrative support: office supply orders, catering requests, conference room management and other vendor requests as needed Prepare, maintain, generate and process essential documents and records (e.g., expense reports and other miscellaneous legal documents)
