    JOB TITLE: Undergraduate Admissions Coordinator

    DEPARTMENT: Admissions

    REPORTS TO: Associate Director of Admissions CRM Operations

    SCHEDULE:

    Monday-Friday, 9:00 a.m. - 5:00 p.m. EST. This is a hybrid position, requiring 3 days in the office and 2 days working remotely. Flexibility and willingness to work up to 5 pre-arranged weekends during the busy recruitment season are required; these events may be scheduled on either Saturday or Sunday.

    COMPENSATION: $43,000 PER YEAR

    POSITION SUMMARY:

    Assist in the daily operations of the Admissions Office by providing general office support. Process a high volume of prospective student inquiries, applications and applicant materials to the college's undergraduate programs. Track applications and applicant data to ensure timely file completion and review. Communicate with applicants throughout the application cycle as needed.

    DUTIES AND RESPONSIBILITIES:

    • Input undergraduate applications and materials into the College's Salesforce CRM and Colleague database.

    • Develop and maintain prospective student records.

    • Perform other data entry and data cleansing tasks related to Undergraduate Admissions.

    • File applicant materials and prepare documents for admission and scholarship review.

    • Work with Admissions Counselors to track and complete applications for designated segment of the applicant pool.

    • Issue official documents to applicants via mail.

    • Respond to applicant inquiries by phone and email.

    • Provide support to applicants throughout the application and enrollment process.

    • Assist in the daily operations of the Admissions Office, providing general office support to Undergraduate and Graduate Admissions including filing, scanning, photocopying, mailing projects, data entry and digital imaging/archiving.

    • Support daily systems migration and integration processes.

    • Batch-add and update prospective student records using data uploader software.

    • Attend and assist with promotional events, which may take pace in-person or virtually (i.e. Open Houses, Portfolio Days, Info Nights, Accepted Student Day, etc.)

    • Ability and willingness to work at least 5 weekend events annually.

    • Assist with the training and supervision of temporary and student workers

    • Work with academic and administrative departments to facilitate enrollment and registration for accepted students

    • Track ongoing processing changes and update the Admissions Processing wiki

    • Perform other duties as necessary

    MINIMUM QUALIFICATIONS:

    • Bachelor's degree is required
    • One year of full-time work experience at an educational institution

    LICENSES:

    PREFERRED QUALIFICATIONS:

    • Meticulous attention to detail and accurate data entry skills Directly related work experience in the visual arts and/or arts education preferred.
    • Proficiency with Salesforce and/or Datatel Colleague
    • Confidence in technology and learning new software and web interfaces.
    • Ability to manage multiple tasks simultaneously and perform well under pressure.
    • Interest and commitment to the goals of higher education.
    • Familiarity with Apple platforms and ability to work with Keynote, Microsoft Office Suite, and Google Office Suite.
    • Strong organizational, interpersonal, and communication skills.
    • Ability to work well with diverse constituencies and practice inclusivity in all settings.
    • Ability to work independently and as a member of a team.

    PHYSICAL REQUIREMENTS OR WORKING CONDITIONS:

    • Administrative staff may occasionally need to lift or carry items, such as office supplies, files, or boxes, typically weighing up to 20 pounds.
    • Sitting for extended periods of time and working on a computer for long periods of time
    • Clear verbal and auditory communication may be required for tasks like answering phones, attending meetings, and interacting with students and colleagues in person or virtually.
    • College administrative offices are generally open Monday through Friday, 9:00 am to 5:00 pm. While supervisors are responsible for ensuring that departmental services are available during these hours, they may vary these hours to meet the specific needs of their department.
    • During working hours employees should, because of an emergency, make their whereabouts known at all times.
    • While working remotely, you will be required to maintain the same hours of work as would be performed if you would be working in the office; follow the department's procedures in completing assigned job tasks, and be available during the employee's working hours via the departments established communication methods (i.e. Google chat, phone, etc.)
