Job Summary:
We are seeking a dedicated and organized Unit Secretary to join our dynamic healthcare team. The Unit Secretary will play a vital role in ensuring the smooth operation of the unit by performing clerical tasks. This position requires excellent communication skills, attention to detail, and the ability to multitask effectively in a fast-paced environment. The ideal candidate will be compassionate, patient-focused, and committed to providing exceptional support to our clinical staff and patients.
Key Responsibilities:
- Administrative Support:
- Serve as the primary point of contact for visitors, patients, and healthcare team members.
- Answer and route phone calls, manage inquiries, and take messages as necessary.
- Maintain accurate and organized patient records, charts, and logs.
- Data Management:
- Assist in the admission, transfer, and discharge process of patients, ensuring all documentation is completed accurately and timely.
- Record and compile statistical data for reporting purposes as required by the department.
- Communication:
- Facilitate effective communication between patients, families, and healthcare providers.
- Scheduling:
- Coordinate and schedule appointments, tests, and procedures for patients as directed by healthcare providers.
- Prepare and maintain schedules for unit personnel, managing shift changes and coverage as necessary.
- Additional Duties:
- Participate in unit meetings and contribute to departmental goals and initiatives.
Qualifications:
- High school diploma or equivalent required; additional education or training in medical administration preferred.
- Previous experience in a healthcare setting, particularly in a clerical or administrative role, is highly desirable.
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with electronic medical record (EMR) systems.
- Excellent verbal and written communication skills.
- Ability to work collaboratively within a team while managing multiple tasks efficiently.
- Strong organizational skills and attention to detail, with a professional demeanor.

Physical Requirements:
- Ability to sit for extended periods and perform tasks requiring fine motor skills.
- May involve some lifting and carrying of office supplies or equipment as needed.
