Job Description

The Accounts Payable Merchandise Processor role with United Refrigeration is a full time position operating out of URI’s corporate HQ in North East Philadelphia. ACCOUNTABILITIES:

• Process and/or update Merchandise Inventory invoices and credits.
• Maintain priority listing of merchandise invoice & status in an automated workflow.
• Timely processing of invoices for payment following terms applied.
• Investigate EDI invoice exceptions.
• Maintain open line of communication with internal departments, stores, and vendors.
• Review vendor statements and aging reports monthly.
• Review of weekly aged invoice and debit memos to ensure invoices are processed timely.
• Contact stores to confirm store level receipt of merchandise (shortages and overages) when PO quantities have not been matched.
• Review checks when printed to confirm validity of items paid.
• Identify ways to enhance and improve efficiency in the current merchandise payable process and procedures.
• Timely and accurate processing of invoices for payment to ensure purchase discounts are not lost.
• Maintain working knowledge of PO (purchase order) processing and adhere to internal controls.
• Ensure correct approval, sorting, coding and matching of invoices/receipts.

DAILY RESPONSIBILITIES:

• Reconciles processed work by verifying entries and comparing system reports to balances.
• Monitoring vendor invoices for discount opportunities; scheduling and preparing entries for scheduled check runs.
• Resolving PO (purchase order), invoice, or payment discrepancies and documentation by insuring credit is received for outstanding memos when appropriate.
• Verifies vendor accounts by reconciling monthly statements and related transactions.
• Maintains historical records by assisting the filing process when needed.
• Protects organization's value by keeping information confidential.

POSITION REQUIREMENTS:

• 2-years experience in a large fast paced Accounts Payable or accounting related department recommended
• Must possess excellent communication skills both verbal and written to interact with various departments, vendors, and store personnel
• Solid Data Entry skills and working in MS Applications; Word and Excel
• Must possess analytical thinking and problem solving skills
• Excellent Time Management Skills
• Ability to multi-task and work with multiple vendors in a fast paced environment
• Must be professional, dependable, trustworthy, and respectful
• Fully on-site position
