    Job Description

    We have an immediate opening for a motivated individual who can take over the administrative responsibilities within rapidly growing CPA firm. We serve clients in New York, Florida and Georgia.

    The office is located in Delray Beach, Florida.

    CPA/PROFESSIONAL OFFICE EXPERIENCE REQUIRED

    This position is significantly influential in the daily operations of the Firm. Actively involved in all management functions of our CPA firm. Administers the affairs of the firm and reports to the managing partner. Meets regularly with the firm management. Formulates annual budgets, prepares and interprets management reports, expends allocated budgets for administrative staff, equipment and supplies; supervises all accounting functions and systems; negotiates for office space, maintains firm insurance; and has final responsibility and authority in administrative personnel matters, including hiring, training, salary advancement, discipline and discharge. May also supervise office team. This position operates at the partner level and reports to the managing partner. Formalizes finance, personnel and general administration policy. Directs the firm’s recruiting program and is actively involved in hiring staff; administrative and accountants. Serves as HR for the Firm and directs administrative personnel recruiting. Directs orientation, training and/or evaluation of both accounting and administrative staff. Directs and supervises the firm’s financial affairs. Supervises management data and reporting. This position is responsible for supervision of all administrative personnel and physical facilities. Is a lead member of committees and is an active participant in all partner/executive/team meetings. Performs controllership functions and may assist with the marketing activities of the firm as it pertains to newsletters and outreach.

    You will focus on modernizing the office procedures and ensuring that all workflows are run out of the Firm’s technology software to ensure that projects are run effectively and efficiently.

    Working directly with the Partner and Accountant in Charge, you are an asset at the Firm and will serve as the direct assistant to the Partner and Accountant In Charge as they are the client and team manager. Working with the AIC, you will need to consistently monitor and implement the status of projects to ensure collective goals are achieved and all deliverables are completed accurately on time and within budget. You will be expected to communicate with clients and the team, review client information regularly, delegate tasks to the team, and become a viable resource for identifying opportunities for changes to the workflow using the Firm’s technology. You will be responsible to ensure appropriate accounting control compliance procedures throughout the activities performed by this position and you’re expected to be able to be fully knowledgeable of such accounting and tax procedures for our type of business setting.

    • Leading and being responsible for incoming and outgoing accurate client information including onboarding, checking all projects are accurate and entered with budgets
    • Know our software and platforms – you will serve as the resource for other team members to utilize project management tools. Continue to learn about new features and look for ways to utilize the programs to maximal capacity. WE USE THOMAS REUTERS CS PROFESSIONAL SUITE; PRACTICE, ULTRATAX, NETCLIENT AND FILE CABINET. WE USE MICROSOFT OFFICE SUITE.
    • Manage the workflow and tracking of projects in progress – making sure team members are staying on top of their project schedules and clients are satisfied with turnaround time.. Generate management reports to keep partners informed·
    • Leading some client outreach, manage returns and financial statement assembly and compliance
    • Perform billing and collection functions as well as manage projects, client and staff modules utilizing the firm software.
    • Continually seek streamlining processes and procedures
    • Administrator of Firm's Standard Operating Procedures
    • Take ownership of Firm administrative work away from partners and tax preparers so they can focus on getting accounting work turned around and back to clients.
    • Trains new administrative employees, allocates and assigns work, and takes an active role in evaluation of job performance
    • Onboarding and Project Conclusions – make sure clients receive and sign their proper paperwork, all work is being billed and fees are collected in a timely manner, and returns are e-filed promptly.
    • Identify opportunities for operational improvements, increase organizational efficiencies and enhance client service. Keep the tone for growth.

    Requirements

    • 5-years’ experience in CPA firm.

    • Project management and tracking experience

    • Excellent knowledge of accounting terms, reports, tax forms engagement letters

    • High level of experience with Thomas Reuters CS Practice software (or similar program experience considered as long as you are confident and willing to get up to speed quickly on a new platform), a wizard with Microsoft Suite, familiarity with QuickBooks
