We are seeking a highly proactive, solutions-oriented, and diversity-focused Part-Time Executive Assistant to support a dynamic entrepreneur managing multiple businesses, including a recruiting agency, virtual assistance agency and modeling agency. The ideal candidate thrives in fast-paced environments, demonstrates exceptional organizational skills, and is passionate about promoting diversity and inclusion.
Key ResponsibilitiesAdministrative Support:
- Manage calendars, appointments, and meetings across multiple businesses.
- Draft, proofread, and edit emails, documents, and presentations.
- Maintain and organize files, records, and contact databases.
Operational Assistance:
- Coordinate tasks and workflows between the entrepreneur and team members.
- Oversee the timely completion of projects and track progress.
- Streamline operational processes to improve efficiency.
Recruitment and Onboarding:
- Assist in sourcing, screening, and onboarding candidates for the recruiting agency.
- Maintain a talent database and contribute to creating a positive candidate experience.
Client and Partner Relations:
- Act as a liaison between the entrepreneur and clients, vendors, or partners.
- Schedule and prepare materials for client meetings and presentations.
Diversity and Inclusion Advocacy:
- Ensure diverse perspectives are represented in hiring, project execution, and client interactions.
- Support initiatives to create an inclusive workplace environment.
Problem-Solving and Decision-Making:
- Identify challenges and propose actionable solutions to the entrepreneur.
- Anticipate needs and proactively address them before they arise.
Qualifications- Proven experience as an executive assistant, virtual assistant, or in a similar role.
- Strong organizational and multitasking skills, with the ability to manage competing priorities.
- Excellent written and verbal communication skills.
- Proficiency in productivity tools such as Google Workspace, Microsoft Office, and project management platforms (e.g., ClickUp, Asana, or Trello).
- Demonstrated commitment to diversity, equity, and inclusion in professional settings.
- Ability to work independently with minimal supervision while maintaining accountability.
- High level of discretion and confidentiality.
Preferred Skills- Experience in recruitment or human resources.
- Knowledge of virtual assistance best practices.
- Familiarity with CRM tools and talent management systems.
- Background in supporting entrepreneurs or small businesses.
Work Hours and Compensation- Hours: Part-time, 5–15 hours per week to start with flexibility to accommodate varying schedules.
- Compensation: Competitive hourly rate ($20-$28/hr) commensurate with experience.
- Terms: Contractor 1099 position
- Location: Fully remote
