About the Position
As a key member of the HR team, the Volunteer & Employee Experience Administrator fulfills two vital roles: managing comprehensive volunteer and internship programs across Mt. Cuba Center's operations and driving employee engagement through strategic event planning and community-building initiatives. This position leverages strong project management skills to coordinate programs across the organization. Through thoughtful program development and event execution, this role serves as a primary liaison between volunteers, interns, staff, and the connections committee while ensuring meaningful experiences that strengthen our organizational culture and support operational goals. This role reports to the Director of Human Resources and does not have any direct reports.
Essential Functions of the Role
The following outlines the key responsibilities of the role, though not exhaustive. Suggested percentages indicate the approximate time and capacity to be devoted to each area:
Program Management & Development [40%]
- Design, evaluate, and enhance volunteer and internship programs through systematic data collection and participant feedback to ensure alignment with Mt. Cuba Center's mission and operational needs
- Apply project management methodologies to develop program timelines, manage budgets, and secure additional funding through strategic grant-writing initiatives
- Build and maintain strategic partnerships with educational institutions and internal departments to strengthen program offerings
- Develop metrics and generate impact reports to guide strategic decision-making
Participant Engagement & Development [25%]
- Lead full-cycle recruitment processes for volunteers and interns, including position development and strategic placement across departments
- Design and execute structured orientation and training programs tailored to different roles and skill levels
- Establish clear professional development pathways that enhance participant experience and retention
- Implement robust systems for tracking participant progress and measuring organizational impact
Employee Engagement & Events [20%]
- Plan and execute organization-wide employee events, celebrations, and social activities using project management best practices
- Serve as primary liaison for the connections committee, coordinating lunch and learns, appreciation events, and staff retreats
- Foster consistent employee experiences across departments through strategic program development
- Create and maintain comprehensive event calendars, budgets, and project timelines
HR Support & Administration [15%]
- Partner with the HR team to align volunteer and intern recruitment with organizational strategies
- Maintain detailed program documentation and records to support HR compliance and reporting needs
- Ensure all programs and activities align with organizational policies and procedures
- Contribute HR expertise to special projects and initiatives as needed
Major Objectives/Projects for the First 6-12 Months
The incoming Volunteer & Employee Experience Administrator will be expected to make significant impacts in the following key areas during their first year:
- Program Enhancement & Integration: Lead a comprehensive evaluation and redesign of volunteer and internship programs to increase engagement, retention, and operational impact. Create standardized processes for program administration while maintaining flexibility for department-specific needs. Focus on developing clear metrics for measuring program success and participant satisfaction.
- Employee Experience Framework : Develop and implement an organization-wide employee engagement strategy. This includes creating a structured calendar of events, establishing consistent communication channels, and building measurement tools to assess engagement initiatives. Partner with the connections committee to enhance existing programs while identifying new opportunities for community building.
- Systems Implementation & Documentation: Collaborate with HR and IT teams to optimize volunteer management software (BetterImpact) utilization and establish comprehensive documentation procedures. Create standardized reporting templates and tracking systems that demonstrate program impact and support strategic decision-making.

Education and Experience
The ideal candidate for the Volunteer & Employee Experience Administrator role will have:
- Bachelor's degree in Volunteer Administration, Public Administration, Human Resources, or related field recommended, or equivalent combination of education and experience
- 3-5 years of experience in volunteer management, program administration, or related field
- Demonstrated experience in employee engagement and event planning
- Valid driver's license required for campus-wide travel
- Certified in Volunteer Administration (CVA) certification preferred
Qualifications and Skills

- Budget management experience
- Knowledge of horticultural, conservation or public garden operations is preferred

About the Role: Compensation, Benefits, and Perks
- Salary commensurate with experience, starting range: $52,000 - $57,000 per year
- Full-time W-2 role requiring 40+ hours per week with a 5-day work week
- While our work is at a physical location, we allow 1 remote work day per week based on a standard schedule
