The role includes receiving callers at the dealership, determines the nature of their business, and directs callers to their destination. Balances credit card transactions, submits warranty and extended warranty claims and submits journal entries for accounting purposes.
The ideal applicant for any position, high school diploma/equivalent, strong customer service skills, a strong command of the English language (verbal & written), a high level of self-confidence, exceptional organizational skills, able to multi-task.
Bilingual (Spanish + English) is a huge plus
RESPONSIBILITIES
- Greets showroom customers and determines the nature of their visit.
- Directs customers to the correct department, notifies the appropriate person that a customer is waiting, and introduces the customer to a salesperson.
- Answers incoming phone calls. Directs caller to appropriate department or individual or takes a thorough message.
- Communicates with callers and visitors in a professional, friendly, and efficient manner.
- Communicates messages to the appropriate parties in a timely manner.
- Serves as liaison to service providers regarding problems with telephone systems and employee special requests.
- Opens and routes incoming mail.
- Handles customer complaints or refers to appropriate dealership employee as necessary for resolution.
- Maintains a professional appearance.
- Processes warranty claims on a timely basis for each franchise or distributor.
- Processes all warranty paperwork to ensure proper documentation.
- Verifies criteria required by factory or distributor.
- Reconciles all warranty receivables with payments through the appropriate accounting schedule.
- Resubmits all rejected claims promptly or receives authorization to write them off.
- Follows up on payment of outstanding claims.
- Files and maintains all service records as required by the warrantor.
- Receives cash, checks and credit card payments from customers; records amount received.
QUALIFICATIONS
- Must be at least 18 years old
- High school diploma or GED
- Must have an impressive work-ethic
- Neat, clean, and professional appearance
- Ability to speak effectively before groups of customers or employees of organization.
- Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
