    Job Description

    Located in Washington DC, Wesley Theological Seminary is a graduate theological school of The United Methodist Church that prepares women and men to be exceptional leaders, teachers, and preachers.     POSITION DESCRIPTION

    The Executive Assistant is a regular full-time position providing administrative support for the Office of the Dean. The successful candidate will work closely with the Dean to help fulfill his duties as the Seminary’s chief academic officer, such as scheduling, taking meeting minutes, event planning and execution, and projects as needed. Recordkeeping, attention to detail, and good verbal and written communication skills are paramount. The successful candidate collaborates with core and adjunct faculty members and with the Seminary’s associate deans and other administrators as needed.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Directs daily operations of the Office of the Dean including (but not limited to): monitoring the shared Dean's Office email address, answering the Dean’s Office phone, and managing the Dean’s schedule.

    • Provides oversight and management of the budgetary process for the Dean’s Office, faculty/adjunct faculty, and other budgets as assigned.

    • Coordinates special events for the Dean’s office, including lectures and forum series, faculty productions and retirement celebrations; retreats, and other events as they arise.

    • Maintains faculty information database.

    • Creates contracts, manages payroll, and provides support to adjunct faculty, faculty overload teaching, and teaching assistants.

    • In conjunction with the Office of Campus Life, co-manages student workers in the Dean’s Office.

    • Coordinates between Seminary offices on projects of importance to the faculty and student experience.

    • Coordinates and provides logistical support for search committees and processes.

    • Provides hospitality to special guests and faculty applicants, including arranging travel and accommodations.

    • Arranges and conducts in-person orientation sessions for new faculty and adjunct faculty & maintains online orientation.

    • Generates reports on faculty, student, and other seminary data.

    • Being present at faculty and committee meetings (including taking minutes and maintaining records of minutes).

    • Conduct webpage content management as needed.

    • Other duties as assigned.

    QUALIFICATIONS

    The successful applicant will have completed a Bachelor’s degree and demonstrate an ability to perform at an executive level. Knowledge of and experience working in an institution of higher education or a church is a plus, as is some knowledge of seminary education.

    • Demonstrated skills in office management, including filing and reporting systems and streamlining of paperwork processes.

    • A high degree of confidentiality, professionalism, and credibility.

    • Consistent attention to priorities and an ability to reassess and adapt on a daily basis.

    • Strong skills in meeting and interacting with the public.

    • Digital literacy – especially proficient in Microsoft Office Suite and Zoom.
