Job Description
William Raveis Real Estate Inc. is seeking a dynamic, experienced ADMINISTRATIVE MANAGER/MARKETING COORDINATOR to provide exceptional support in our Glastonbury office. Responsibilities include: Real Estate Transaction Management & systems input, Confidentiality, providing technical support for company initiatives, implementation of “best practices” for procedures, systems & processes, order and maintain company marketing collateral, presentation support for sales & staff meetings, special events support, office communications, and coordination of office vendors, maintain a welcoming & clean work environment. Providing exceptional service to internal customers including the sales staff, management team & onboarding of new agents.
Play a critical role in the creation and execution of the office’s print and digital marketing, local training efforts, and the seamless coordination of marketing requests for our sales associates including but not limited to: Listing Presentations, Print Advertising, Direct Mail, Social Media, Email Marketing, and Compliance Officer for Company Branding, Social Media and Marketing Standards.
PREFERRED SKILLS AND EXPERIENCE INCLUDE:
Basic understanding of accounting/banking
Manage Escrow, Commissions, On Boarding, and Reimbursements
Be fully knowledgeable in SkySlope on the AM and Agent level to provide assistance to the agent and manage compliance in SkySlope and the transfer of information to ROMIO
Be fully knowledgeable in ROMIO; review and manage all transactions in ROMIO and maintain all listing files
Responsible for closing out all deals and ensuring that agents get paid their correct commissions.
Be fully knowledgeable in KACE ticketing and manage open issues through the system.
Submits all invoices and manager reimbursements through Concur.
‘Compliance Officer’ for Company Branding, Social Media and Marketing Standards
Create all agent individual marketing pieces for weekly open houses.
Coordinate and execute all office print and digital advertising
Manage office Social Media accounts (Instagram & Facebook) and provide support to sales associates on how to effectively promote their brand across accounts
Familiarity with Customer Relationship Management (CRM) technology tools
QUALIFICATIONS:
Bachelor’s degree in Marketing, Advertising, or Graphic Design preferred
Strong computer software skills required. Microsoft Office: Word, Excel, Power Point, advanced Publisher, and preferably Adobe InDesign. (Additional creative suite application experience a plus but not required)
Customer service oriented
Ability to multi task, manage deadlines and prioritize multiple projects
Excellent written and communication skills
Prior real estate experience preferred but not required.
PHYSICAL DEMANDS:
This position requires individual to sit mostly at a desk. There is constant handling, grasping, feeling, hearing, and use of a mouse as a repetitive motion. On occasion the position requires standing, reaching, bending, squatting and walking. Maximum requirement to lift is no more than 20 lbs.
HOURS OF WORK:
Full Time; standard work hours are Tuesday through Saturday from 8:30am-5:00pm with regular and predictable attendance.
