Administrative Assistant
Job Overview: Coordinate and provide support to ensure efficient operation of the Youth Department. Supports Youth Director & Youth Pastor through a variety of tasks related to organization and communication. Responsible for confidential and time-sensitive material by performing the following duties.
Essential Duties and Responsibilities:
Coordinates the logistics for all weekly services and youth events
Be a liaison for all meetings in reference to events and/or conferences of the youth
Provide reports to the youth director and youth pastor of all department meetings for weekly services, special services, events, projects, etc.
Coordinate all pastoral care and leadership impartations for the youth director and pastor
Responsible for managing the department budget under the supervisions of both youth director & youth pastor
Responsible for coordinating all SGN invites and impartations with agenda
Coordinate logistics for services, special events, conferences, and guest speakers
Assist youth director & youth pastor with the agenda for weekly services, special events and conferences
Responsible for maintaining office inventory stocked and ordering supplies
Attend to email and mail correspondences pertaining to the department
Responsible for all purchasing for the youth department under supervision of the youth director and pastor
Input all invoicing through financial portal and legal portals under the supervision of youth director and pastor
Maintain the database up to date and provide monthly reports
Coordinate youth volunteers for weekly services, special events and conferences
Manage department calendar, confirming scheduled meetings, ensuring that meetings are added to all necessary parties, etc.
Provides support to other departments during special events/services to help meet organizational needs. This may include temporary adjustment in schedule and assignments

Education and/or Experience Requirements:
Associates Degree in a ministry related field is preferred
High School Diploma or equivalent (GED)
minimum of 1-2 years of experience in administrative assistant
