    Job Description

    Job Summary
    We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional communication skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a professional demeanor and the capability to handle sensitive information with discretion. The Executive Assistant will play a crucial role in enhancing productivity by managing schedules, coordinating events, and providing administrative support.

    Responsibilities

    • Provides administrative support of operation of office.
    • Answers phone calls, schedules meetings.
    • Carries out administrative duties such as filing, typing, copying, binding, scanning etc.
    • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.
    • Coordinates with IT provider to resolve IT issues.
    • Review and respond to emails.
    • Assist with written correspondence (dictation and preparation of letters and documents).
    • Keeps calendar for Principals and coordinates schedule.
    • Send and receive packages as necessary.
    • Schedule service vendors.
    • Coordinate with vendors.
    • Check project progress and report to principals.
    • Deliver car to airport for travel as necessary.
    • Report any needed repairs or maintenance.

    Requirements

    • High school diploma.
    • 3 years of administrative assistant experience required
    • Working knowledge of appropriate software including: Apple Pages, Numbers, iCal, Contacts, Microsoft Word, Excel, and Outlook, Microsoft PowerPoint and Adobe Acrobat
    • Valid driver's license and current automobile insurance
    • Legal citizen of the US
